AI Terms

A board member accepts these terms for the association when turning AI on in AI Settings. They add to the association's HOAOS subscription terms, which are DomoDomu's Terms of Service.

  1. What AI does. When the association turns AI on, HOAOS can answer questions about its documents, draft letters, notices and minutes, read uploaded documents, summarize records and suggest next steps. The board chooses whether residents may use AI too.
  2. Where the data goes. Each time an AI feature runs, HOAOS sends the records that feature needs to Anthropic, which provides the Claude model, and stores the result in HOAOS. Anthropic processes this data on our behalf, does not use it to train its models, and deletes it within 30 days unless it must keep it longer to enforce its usage policies or by law.
  3. What is never sent. Secret-ballot answers, who took part in a survey, passwords, sign-in codes and payment card or bank details. Owners' names, addresses, email addresses, phone numbers and unit numbers are removed before violation and ARC comparisons.
  4. Your authority. The board confirms it may share the association's records with HOAOS's AI provider for these purposes, and that it will tell residents as its governing documents or the law require.
  5. Check the results. AI can be wrong, incomplete or out of date. A person must review every draft before it is sent or relied on. Figures in letters, statements and reports come from the association's books, not from the AI, but the board is still responsible for what it sends.
  6. Not legal advice. AI answers about the governing documents or the law are not legal, financial or professional advice. For decisions with legal effect, such as fines, hearings, collections and elections, the board should consult its own counsel.
  7. Credits and charges. Each plan includes a monthly allowance of AI credits that does not carry over. When it runs out, AI stops until the next month unless the board buys a credit pack: 500 credits for $40, valid for 12 months, billed on the next HOAOS invoice. If the board turns on automatic top-up, a pack is bought each time credits run out. Packs are not refundable, except where the law requires.
  8. Turning AI off. The board can turn AI off at any time in AI Settings. Records already produced stay in HOAOS with the association's other records. We may also pause AI for the association, for example if the provider is unavailable or if it is used in a way that breaks these terms.
  9. Acceptable use. AI may not be used to harass residents, to make decisions about a person without a board member's review, or for anything the association's governing documents or the law forbid.
  10. Changes. We may change these terms, or the AI provider, with 30 days' notice to the board by email. If the board does not agree, it can turn AI off.
  11. Liability and law. The warranty disclaimer, the limitation of liability and the choice of Georgia law in DomoDomu's Terms of Service apply to the AI features and everything they produce.
